1. About this policy
This policy explains how we handle information about parents, guardians, players and website visitors. It reflects our stated practices and does not assume that every provision of the Privacy Act applies to every small business. We comply with the privacy obligations applicable to our activities. Contact info@anbasketball.com for privacy requests.
2. Information and collection
We collect information you provide when enquiring, enrolling, completing checkout, attending sessions or contacting us. This includes parent/guardian name, email and phone; player name, age and experience; group placement, attendance and progress information; booking, subscription and transaction records; consent choices; and communications or complaints. Coaches may record attendance and information relevant to training or incidents.
Where needed for safe participation, we separately request relevant medical conditions, allergies, support needs and emergency contacts. Tell an emergency contact before giving us their details. We do not need unrelated health history or identity documents for routine enrolment.
Our site and providers may generate technical records such as IP address, browser, device, security and usage logs. The Cookie Policy explains website technologies. Promotional photographs and videos follow a separate consent process.
3. Purpose and necessary information
We use information to respond to enquiries, organise appropriate groups, supply training, process payments, administer trials and renewals, communicate changes, support safe participation, handle incidents or complaints and meet legal or recordkeeping obligations. If essential information is not provided, we may be unable to confirm a place or arrange safe participation. Optional marketing and image permissions are not conditions of enrolment.
4. Children and health information
Enrolment is handled through parents or authorised guardians. We take account of children's views, understanding and capacity, and avoid unnecessary collection. Necessary health information is collected with appropriate consent or another lawful basis and accessed only by people who need it for safety or administration. Do not enter health details in payment descriptions, Meta lead forms or public website fields. Request our enrolment process instead.
5. Payments
Stripe processes payments and payment-method information. We receive transaction, subscription and limited payment-method details needed to administer purchases, such as card brand and last four digits. We do not ask for full card numbers or security codes through email or our ordinary forms. Stripe also processes information for its own security, fraud-prevention and legal purposes; see stripe.com/privacy.
6. Sharing and providers
Information is shared as reasonably needed with authorised coaches and administrators, payment, website, form, communications and record-storage providers, and professional advisers. Relevant information may be shared with emergency responders or authorities where required or permitted by law. If a separate league or association registration is needed, we explain the information required for it.
Our website platform is Framer and our payment processor is Stripe. Other actual providers and purposes: [CONFIRM FORM, EMAIL/SMS, CRM, STORAGE AND ANALYTICS PROVIDERS]. We do not sell player contact lists or use health information for advertising.
7. Storage and overseas handling
Information is held in the systems used to deliver and administer the program: [CONFIRM ACTUAL STORAGE SYSTEMS]. Some providers and their subprocessors may handle information outside Australia. The countries in which information is likely to be disclosed or handled, where practicable to identify, are: [CONFIRM COUNTRIES FROM ACTUAL PROVIDERS]. We consider privacy and security arrangements when selecting providers and disclose only information needed for their role. This statement is not an unrestricted consent to overseas disclosure.
8. Marketing, photography and cookies
We send marketing with the required permission, identify ourselves and provide an unsubscribe option. Operational training and billing notices may still be sent when necessary. Promotional image permission is separate from membership acceptance, with a separate choice for paid advertising. You may withdraw permission for future use; we take reasonable steps regarding content we control, although previously distributed material and third-party sharing may not be fully recoverable. We respect a child's objection to being photographed.
Actual analytics and advertising tools and controls are described in the Cookie Policy. We do not treat simply visiting the site as consent to every possible use of personal information.
9. Safeguards and retention
We use reasonable safeguards appropriate to the information, including restricted access and secure provider accounts. No system is completely risk-free. Information is retained only as long as reasonably needed for the purpose collected and applicable legal, accounting, insurance, incident or safeguarding requirements. Retention depends on record type and whether a dispute or legal hold applies. We securely delete or de-identify information when no longer needed, subject to provider backup cycles and lawful retention. We assess and respond to suspected breaches and notify affected people or authorities where required.
10. Requests and complaints
You may request access, correction, deletion or information about a use of your data by emailing info@anbasketball.com. We may verify identity and authority, especially for a child's records. Deletion is not absolute where records must lawfully be retained. We explain any refusal and available review options.
We aim to acknowledge privacy complaints within 7 business days and respond within 30 days or explain a delay. If unresolved, you can contact the OAIC at oaic.gov.au where the matter falls within its jurisdiction, or another relevant authority. We update this policy when practices change and notify families of material changes through an appropriate channel.
